There are times when you need a quick way to import your CSV file into Outlook or other locations but the file you have just contains raw data and is not recognized because it is not properly formatted. That's where vCard Wizards CSV mapping comes into play.
In order to use the mapping feature, you will need to acquire the vCard Wizard Pro Plus version. The regular vCard Wizard Pro version does not support it.
First, you will need a regular csv file with raw data that contains basic info like full name, email address, and a phone number.
This is an example of an improperly formatted .csv file that will not be viable for data import unless it is properly mapped first.
How to start mapping a CSV file
Step 1. Start vCard Wizard application and click MAP CSV FILES... button located bottom left corner.
Step 2. Click the top BROWSE... button and select your raw CSV file.
Step 3. Click the bottom BROWSE... button to set the destination for your mapped CSV file.
Step 4. Click the START MAPPING button.
Step 5. Select a mapping profile top left corner. The recommended profile is "Outlook" because its field names are easier to understand.
Step 6. vCard Wizard will read your raw CSV file and provide available data in separate fields. Because the raw file had 3 columns with data, it will show 3 fields to map: Name, Email, Phone.
Step 7. Click the drop-down menu of each field under the Assign to: menu and select a correct designation for it.
Keep in mind that some of the information you have in your csv file might not have a designated field for it, in such cases, you can just leave it to be Add to Notes, so that information would still be mapped to the contacts notes section.
Step 7. Once the initial mapping is done on your first contact, click the NEXT > button located top right corner to view other contacts in the list to see if vCard is properly mapping the data.
Step 8. Once you are satisfied with the initial mapping, click the MAP button located bottom right.
Step 9. Select any additional options and click the YES button.
Step 10. After a successful mapping, a new CSV file with _mapped will be saved so you could distinguish your mapped file from your raw file.
Recommendation: Be very meticulous when it comes to mapping big CSV files. Make sure you map all fields with your data, go through several contacts examples to see if you can find any contacts that contain data that others do not, and map it accordingly. Try to avoid conflicts, you may even need to edit your raw CSV file to store the data under correct columns.
Testing the mapped CSV file
After you have mapped your CSV file it is always a good practice to do a test run to see how the contacts look after you import them. The best place to do that is Outlook.
Step 1. Open vCard Wizard and in the Select Source window - choose the CSV file option.
Step 2. Browse to the folder where your mapped CSV file is located. You may get a warning that some of the CSV files were not recognized. This happens when your raw CSV file is located in the same directory as the mapped file. In that case, just click the CLOSE button.
Step 3. The mapped file that is recognized will show up in the list. Select the mapped file and click the OK button.
Step 4. Once the source is selected, click the NEXT > button.
Step 5. In the Select Destination window - pick the Microsoft Outlook option.
Step 6. On the right side of the window, click the 3 vertical dots button and select Change folder...
You can use the default folder if you wish, but if it already has contacts and you do not want to disturb them with testing, it's recommended to create a separate contacts folder for contacts import.
Step 7. Select the test folder. If you do not have one, click the New... button, give it a name and click the OK button.
Step 8. Once the destination folder is selected, click the NEXT > button.
Step 9. Do a quick review of your source and destination to make sure correct selections were made and click the TRANSFER > button.
After a short while, contacts will be transferred and you will see a transfer report.
Step 10. Launch the Outlook app and access the newly created test contacts folder to see how your imported contacts are looking.
If contacts look ok and have data in the correct fields, then you have successfully mapped your raw CSV file. If something is still missing, repeat the mapping process, make the necessary adjustments, and import to Outlook once more (make sure you delete the old batch of contacts before you import again).
Tips:
- CSV Mapping functionality is only available with the vCard Wizard Pro Plus version.
- vCard Wizard application can be used both as an Outlook add-in and as a standalone version if Outlook is not installed.
