How to add PST File in Outlook

What is a .pst file?

An Outlook Data File (.pst) stores all of your emails, calendars, contacts, tasks, notes, and other Outlook items and is saved on your computer. It is commonly used with POP/SMTP type email accounts which can download all of your email messages from your mail server and save them on your computer.

An Outlook Data File (.pst) can also be used to backup or export items from any type of email account. To learn how to backup and export your emails, calendars, contacts, and tasks data, follow the How to Export Data from Outlook to a .PST article.

You can also import your emails, calendars, contacts, tasks, or other Outlook items to Outlook from another .pst file. To learn how to import .pst file into Outlook, please follow the How to Import Data to Outlook from a .PST article.

There are several ways to add a .pst file to Outlook. Steps apply to Outlook 2010, 2013, 2016, 2019, and Office 365 versions of Outlook.

Method #1

Step 1. Start Outlook and click the File tab in the top left corner.

Step 2. In the File menu, select Open & Export.

Step 3. In the Open & Export menu, select the Open Outlook Data File option.

Step 4. In the Open Outlook Data File window, browse to your .pst file's location, select your file and click the OK button.

Step 5. The .pst file will be loaded as a separate folder structure. You will be able to find this in the folder pane on the left side of Outlook.

Method #2

Step 1. Start Outlook and click the File tab in the top left corner.

Step 2. In the File menu, select the Info option.

Step 3. In the Account Information window, click the Account Settings button and select the Account Settings option from the drop-down menu.

Step 4. In the Account Settings window, select the Data Files tab and click the Add... button.

Step 5. In the Create or Open Outlook Data File window, browse to your .pst file's location, select your file and click the OK button.

Step 6. The .pst file will be loaded as a separate folder structure. You will be able to find this in the folder pane on the left side of Outlook.

Tips:

  • If you want to import the file into the existing Outlook Data File, use the Outlook Import option.
  • Outlook is unable to add .pst files that are larger than 50GB.
